Purpose of the Job:
The Administrative Assistant will provide day-to-day administrative support to the Claims department, ensuring smooth compliance, document management, and office coordination.


Key Responsibilities

Compliance Administration:

  • Maintain up-to-date documentation of department activities.
  • Ensure policies and standards are followed.
  • Stay informed on internal standards and goals.

Office Coordination:

  • Follow up on outstanding tasks.
  • Respond to requests promptly.
  • Ensure sufficient stationery for the department.
  • Validate and capture information accurately.
  • Keep systems and registers updated.
  • Report duplicate documents or requests.
  • Assign reference numbers and capture documents in various systems.
  • Allocate tasks to the appropriate team members.
  • Draft and distribute letters to stakeholders.

Meeting Support:

  • Schedule and organize meetings.
  • Assist with taking and distributing minutes as per governance standards.
  • Maintain a register of outstanding matters and follow up on resolutions.
  • Coordinate team diaries and meeting confirmations.
  • Schedule appointments with both internal and external stakeholders.

Document and Records Management:

  • Oversee records management and filing in line with RAF’s filing system.
  • Keep the filing system up-to-date and retrieve information as needed.
  • Ensure confidentiality and proper handling of documents.
  • Acknowledge receipt of documents, allocate file numbers, and log data into the system.

Qualifications

  • Matric/Grade 12 certificate.

Experience

  • 1 year of relevant experience in an administrative or similar environment.
