Purpose of the Job:
The Administrative Assistant will provide day-to-day administrative support to the Claims department, ensuring smooth compliance, document management, and office coordination.
Key Responsibilities
Compliance Administration:
- Maintain up-to-date documentation of department activities.
- Ensure policies and standards are followed.
- Stay informed on internal standards and goals.
Office Coordination:
- Follow up on outstanding tasks.
- Respond to requests promptly.
- Ensure sufficient stationery for the department.
- Validate and capture information accurately.
- Keep systems and registers updated.
- Report duplicate documents or requests.
- Assign reference numbers and capture documents in various systems.
- Allocate tasks to the appropriate team members.
- Draft and distribute letters to stakeholders.
Meeting Support:
- Schedule and organize meetings.
- Assist with taking and distributing minutes as per governance standards.
- Maintain a register of outstanding matters and follow up on resolutions.
- Coordinate team diaries and meeting confirmations.
- Schedule appointments with both internal and external stakeholders.
Document and Records Management:
- Oversee records management and filing in line with RAF’s filing system.
- Keep the filing system up-to-date and retrieve information as needed.
- Ensure confidentiality and proper handling of documents.
- Acknowledge receipt of documents, allocate file numbers, and log data into the system.
Qualifications
- Matric/Grade 12 certificate.
Experience
- 1 year of relevant experience in an administrative or similar environment.
