Purpose of the Job:
The Administrative Assistant is responsible for providing daily administrative support to the Offer Management department, ensuring smooth operations and efficient handling of documents, meetings, and compliance.


Key Responsibilities

Compliance Administration:

  • Maintain accurate and up-to-date documentation for business activities.
  • Ensure adherence to policies and process standards.
  • Stay updated on internal standards and business objectives to ensure effective internal controls.

Office Coordination:

  • Follow up on pending tasks and matters.
  • Handle requests within set deadlines.
  • Ensure the availability of office supplies.
  • Validate and verify submitted documents for accurate data capturing.
  • Keep systems and registers updated with the latest information.
  • Identify and report duplicate documents or queries.
  • Assign reference numbers and accurately capture related data on different systems.
  • Allocate tasks to team members.
  • Draft and send official correspondence to stakeholders as needed.

Meeting Support:

  • Organize and arrange meetings for the department.
  • Assist in taking and distributing minutes according to governance standards.
  • Maintain a register to track outstanding matters from meetings.
  • Follow up on meeting resolutions and ensure timelines are met.
  • Confirm meetings and manage team members' diaries.
  • Schedule appointments with internal and external stakeholders.

Document and Records Management:

  • Oversee records management and filing in line with the RAF’s filing plan.
  • Keep the filing system functional and up-to-date.
  • Ensure retrieval of information as needed.
  • Maintain confidentiality of all documents.
  • Record and file documentation accurately using allocated file numbers.

Qualifications

  • Matric or Grade 12 certificate.

Experience

  • Minimum 1 year of experience in an administrative or similar role.
