Job Purpose
AECI Property Services is seeking a motivated Administrative Intern to assist with various administrative duties while gaining valuable experience in the property management industry. This internship provides an excellent opportunity for individuals who are looking to develop their skills in a professional office environment, with a focus on property services and tenant management.
The Administrative Intern will be responsible for supporting the team with day-to-day office tasks such as reception duties, document management, tenant invoicing, and reporting. This role is designed for a self-motivated individual who is eager to learn and contribute to the successful operations of the property services department.
Key Responsibilities
Reception and Office Administration
- Handle basic receptionist duties, including welcoming visitors and answering phone calls.
- Order office supplies and equipment to ensure smooth operations in the office.
- Assist with general filing, copying, and printing of documents for different departments.
- Manage postage and courier services, ensuring timely dispatch and receipt of parcels.
Property Administration Support
- Assist with the processing of monthly tenant invoices, manual invoicing, and preparing quotes as needed.
- Support the processing of monthly supplier invoices, ensuring accurate and timely payments.
- Help manage lease renewals, new leases, and drafting of lease documents, including the vetting of tenants.
- Assist with tenant queries and provide support where necessary to ensure customer satisfaction.
Data Entry and Reporting
- Support monthly environmental reporting, ensuring compliance with required standards.
- Assist with loading jobs on MDA (property management software), ensuring all property-related tasks are properly documented.
- Help with the processing of tenant queries related to lease agreements, renewals, and other administrative concerns.
Qualifications & Experience
- Matric/Grade 12 (minimum educational requirement).
- Proficiency in MS Office (Word, Excel, Outlook, etc.) is essential for managing administrative tasks.
- Prior experience or qualifications in Property Administration or Property Management will be advantageous.
- Knowledge of MDA (Property Management Software) would be highly beneficial but not mandatory. Training can be provided.

- Excellent verbal and written communication skills to interact professionally with tenants, suppliers, and colleagues.
