Job Overview:
We are seeking a dedicated and detail-oriented Administrative Support Officer to join our team in Randburg. Key Responsibilities:
Administrative Support:
- Provide efficient and effective administrative support to ensure smooth operations in the functional area.
- Handle day-to-day administrative tasks such as filing, data entry, and correspondence management to ensure all activities are streamlined and recorded properly.
- Maintain organized and up-to-date filing systems to facilitate easy access to information and documents.
- Assist with preparing reports, presentations, and other documents as needed to support the department’s activities.
Financial Oversight:
- Manage costs and expenses within the approved budget to help the department achieve cost efficiencies.
- Ensure all financial transactions are recorded accurately and in a timely manner, maintaining compliance with company policies and audit requirements.
Stakeholder Relationship Management:
- Cultivate and manage professional relationships with a variety of stakeholders, including end-users, subject matter experts (SMEs), project managers, and senior staff members.
- Act as a liaison between different departments, ensuring that communication is smooth and issues are resolved promptly.
- Attend meetings and provide administrative support by taking minutes and managing follow-up actions.
Customer Service Excellence:
- Resolve all customer queries efficiently and within agreed timelines to ensure a high level of customer satisfaction.
- Provide proactive, innovative, and appropriate solutions to exceed customer expectations.
- Continuously look for ways to enhance customer service and address any potential service gaps.
Regulatory Compliance and Governance:
- Stay updated on changes in laws, regulations, and industry best practices that may impact the business.
- Draft and implement appropriate interventions to ensure the department remains compliant with legal and audit requirements.
- Maintain a strong understanding of governance practices and ensure compliance with company policies.
Operational Efficiency:
- Oversee the maintenance of all administrative processes related to the department’s operational activities, ensuring consistency and accuracy.
- Continuously evaluate processes and recommend improvements to enhance efficiency and effectiveness.
Management Information and Reporting:
- Provide timeous and accurate management information to senior staff and other stakeholders.
- Assist in the preparation and analysis of data to support decision-making processes.
Team Development and Performance Management:
- Play an active role in managing team performance by setting clear objectives and providing feedback.
