Job Description:
Motus Toyota Nelspruit is looking for an Administrator: Parts to manage paperwork for parts purchases, sales, credits, and orders. The successful candidate will report to the Parts Manager and assist in maintaining the smooth operation of the parts department.


Specific Role Responsibilities:

  • Daily Ordering: Place stock orders based on Kerridge printouts approved by the Manager.
  • Stock Entry: Enter orders into stock and ensure correct parts and pricing.
  • Discrepancies: Perform DRs, RFCs, and handle price discrepancies.
  • Stock Management: Clear negative stock from the I05 Kerridge report and assist with stocktaking.
  • Adjustments: Perform stock adjustments after authorization.
  • Customer Service: Provide high-quality service when receiving parts and resolving customer queries.
  • Communication: Maintain clear communication with customers, the Parts Manager, salespeople, stores personnel, and drivers.
  • Credits and P.O.D.s: Follow up on customer credits and proof of delivery.
  • Reconciliation: Reconcile creditor accounts and ensure accounts are up to date, including GIS/GRN accounts.
  • Cash Handling: Prepare banking for cash and COD sales, ensure all cash received is secure.
  • Issue Credit Notes: Issue credit notes after authorization by the Manager.
  • Housekeeping: Maintain a clean and organized work area at all times.
  • Meetings and Training: Attend relevant meetings and training sessions as required.
  • Other Tasks: Perform any other reasonable tasks as directed.

Qualifications and Experience:

  • Education: Minimum of Grade 12.
  • Criminal Record: Must have a clear record.
  • Kerridge Knowledge: Knowledge of the Kerridge system will be an advantage.
  • Industry Experience: Motor industry experience is essential.
  • Computer Literacy: Required.

Skills and Personal Attributes:

  • Customer and Team Orientation: Ability to work well with customers and as part of a team.
  • Motor Industry Expertise: Prior experience in the motor industry is crucial.
