At Intercare Sandton Medical and Dental Centre, located in Rivonia, Johannesburg, we are seeking to recruit a Dental Receptionist who will help us continue delivering exceptional patient care and administrative support. This role is key to ensuring smooth and efficient day-to-day operations at the reception desk, enhancing the overall patient experience from the moment they enter the facility.

DUTIES & RESPONSIBILITIES
As a Dental Receptionist, you will play a vital role in the overall patient journey. Your responsibilities will include but are not limited to:
Efficient and Professional Communication:
- Provide excellent telephone services in line with Intercare's standards of patient care. Handle incoming calls professionally, ensuring that all queries and appointments are managed in a friendly and helpful manner.
- Ensure that all patient interactions are conducted with respect, patience, and attentiveness, maintaining a welcoming atmosphere at all times.
Patient Assistance & Documentation:
- Assist patients with accurately completing necessary forms and documentation, ensuring that all required information is captured in accordance with internal policies and healthcare regulations.
- Provide patients with clear guidance on procedures, billing, and payment methods.
Reception Management & Patient Journey:
- Manage the reception area efficiently by handling all processes related to the patient’s journey, including booking appointments, welcoming patients upon arrival, and facilitating the payment process after their consultation or procedure.
- Direct patients and visitors to the appropriate services, healthcare professionals, or departments.
- Ensure that the reception area remains neat, organized, and welcoming at all times.
Confidentiality & Compliance:
- Safeguard patient confidentiality by adhering to the Protection of Personal Information Act (POPIA) and ensuring that sensitive patient information is handled with care.
- Ensure compliance with healthcare policies and legal regulations to maintain a safe and secure environment for both patients and staff.
Emergency Protocols:
- Refer emergency cases to the nurse’s station promptly and efficiently, following established protocols to ensure patient safety and timely medical attention.
Account Management & Payments:
- Assist patients with basic account and billing queries, escalating complex issues to the appropriate department as necessary.
- Collect co-payments, outstanding account balances, and other payments in accordance with Intercare's financial policies and procedures.
- Execute accurate daily cash-up and banking processes, ensuring that all financial transactions are completed in line with company standards.
Customer Service Excellence:
- Provide every patient and visitor with a positive and professional experience, ensuring their needs are met efficiently and with a high level of care.
- Exhibit strong customer service skills, being approachable, patient, and respectful when dealing with patients' questions and concerns.
Administrative Duties:
- Maintain accurate and up-to-date records of all patient interactions, including appointments, cancellations, and payments.
- Manage scheduling conflicts, rescheduling requests, and cancellations in a professional and organized manner, ensuring minimal disruption to the clinic’s operations.
- Utilize the relevant clinic systems, such as GoodX (if applicable), to manage patient appointments, medical records, and billing information.
REQUIREMENTS & QUALIFICATIONS
To be successful in this role, you must meet the following criteria:
Minimum Qualification:
- A Grade 12 certificate is required.
Experience:
- Previous experience in a customer-focused service environment, such as a reception or front-desk role, is advantageous.
- Prior experience within the healthcare or dental industry will be considered beneficial, but not mandatory.
- Experience using healthcare management systems such as GoodX is advantageous but not required.
- HPCSA registration as a Dental Assistant would be an added advantage, though not essential.
Skills & Competencies:
- Proficiency in using computers and basic office software is required.
- Excellent verbal and written communication skills, with the ability to engage with patients in a friendly and professional manner.
- Strong organizational and multitasking abilities to handle administrative duties while maintaining excellent patient service.
- A proactive and positive attitude towards work, with a strong focus on providing exceptional service.
- Attention to detail and accuracy in all tasks, including financial transactions and patient documentation.
