Purpose of the Job:

The Driver/Messenger is responsible for safely transporting people, documents, and goods to and from assigned locations, ensuring adherence to safety procedures and road regulations. The role involves maintaining vehicle condition, reporting defects, and completing deliveries on time, with proper documentation and communication.


Key Responsibilities

Messenger Services:

  • Collect and verify correspondence from government institutions.
  • Deliver packages/documents securely and on time, while handling them with care.
  • Drive the delivery vehicle to the destination, maintaining a logbook for daily visits.
  • Reconcile deliveries and obtain receipts or signatures from recipients.
  • Plan delivery routes for maximum efficiency and report all completed deliveries to the office.

Administration:

  • Monitor requests for copying, binding, and messenger services.
  • Archive scanned files and documents as per National Archives Act and RAF policies.
  • Prepare and capture records for offsite storage, maintaining an inventory of records with reference numbers and retention periods.
  • Ensure postal services within the branch operate efficiently, and provide timely document binding services.

Transportation:

  • Load and unload merchandise, transporting products and staff securely.
  • Report electrical or mechanical faults to the Facilities Manager and maintain vehicle safety through pre- and post-trip inspections.
  • Maintain the binding and copying machines in working order.

Reporting:

  • Report vehicle defects, accidents, traffic violations, and loss of equipment.
  • Ensure vehicle conditions are up to standard and provide logbooks in accordance with the Fleet Management Policy.
  • Report unexpected delays and major equipment faults to supervisors.

Mail Processing:

  • Receive, register, and stamp incoming/outgoing correspondence.
  • Sort incoming documents and prepare outgoing mail for distribution, ensuring all files and correspondence are appropriately handled and recorded.

Qualifications and Experience

  • Matric or Grade 12 certificate.
  • Valid code 10 (EC1/EC) driver’s license.
  • Professional Driver’s Permit (PDP).
  • Minimum of 1-year experience in driving or messenger services.
