Job Overview:
The Administrative Assistant for the Mechanization Branch will play a crucial role in managing the internal administration of the branch. This position requires an individual with excellent organizational skills, attention to detail, and a commitment to ensuring efficient service delivery to both internal and external clients.
Key Responsibilities:
Petty Cash Management:
- Handling and balancing petty cash transactions on a daily basis.
Daily Reconciliation:
- End-of-day reconciliation and balancing of the branch's daily transactions, including banking.
Claims Processing:
- Registering, processing, and completing claims in line with company policies.
Stock Control:
- Issuing Goods Received Vouchers (GRVs) for stock and monitoring deviations through deviation reports.
- Assisting with regular stock takes to ensure accurate stock levels.
Receiving Deliveries:
- Receiving deliveries from suppliers, ensuring compliance with established policies and procedures.
Customer Liaison:
- Regular interaction with both internal and external customers to provide excellent service and resolve queries.
Administrative Support:
- Performing additional administrative duties and ad-hoc tasks as required.
Qualifications & Experience:
- Minimum Education:
- Grade 12 or NQF4 qualification.
- Experience:
- Previous experience in a workshop or spares environment is advantageous but not mandatory.
- Computer Skills:
- Proficiency in the Microsoft Office suite (Word, Excel, etc.).

- Communication Skills:
- Excellent communication skills, both verbal and written.
- Numeracy:
- Strong numeracy skills with the ability to handle cash and perform reconciliations.
- Attention to Detail:
- Thorough, precise, and accurate in managing administrative tasks and stock control.

- Effective time management skills, able to meet deadlines and balance multiple tasks.
- Teamwork:
- Collaborative team player with a commitment to contributing positively to the branch’s success.
- Commitment:
- Willingness to work six days a week (Monday to Saturday) and flexibility to adapt to the role’s demands.
