Job Overview:
An opportunity has arisen for a suitably qualified individual to fill the position of Admin Clerk / Receptionist at our East Rand office. The role involves administering the receiving, capturing, and distribution of samples to ensure accurate information is recorded and to facilitate the efficient processing of samples according to service objectives.


Key Responsibilities:

  • Sample Management:

    • Administer sorting and distribution of samples according to standard operating procedures.
    • Ensure the correct and prioritized channelling of specimens to various laboratories.
    • Process sample registration and address queries promptly.
    • Dispatch specimens for processing, monitor progress, and file reports as per turnaround time requirements.
  • Hospital Rounds:

    • Collect and submit samples for processing while distributing reports during hospital rounds.
  • Customer Service & Administrative Support:

    • Handle and refer administrative queries and customer complaints for timely resolution.
    • Track the progress of sample deliveries and ensure timely processing of specimens.
    • Address bottlenecks in the pre-analytical processes to resolve challenges efficiently.
  • Stock & Equipment Management:

    • Ensure basic housekeeping in the working area and maintain laboratory equipment.
    • Monitor stock levels and ensure availability of necessary materials, delivering stock to doctor's rooms when required.
  • Reception Duties:

    • Manage the reception area, direct clients, and provide relevant information while ensuring excellent customer service.
    • Receive cash payments from patients and ensure banking in line with standard procedures.
    • Log customer complaints and track incident resolutions on the laboratory information management system.
  • Document Management:

    • Prepare and scan patient forms, resolving scanning issues according to set procedures.
    • Adhere to company uniform protocols and represent the organization professionally in the medical pathology field.

Minimum Requirements:

  • Qualifications:

    • Grade 12 (Matric)
    • Computer literacy and knowledge of laboratory information systems.
  • Skills & Competencies:

    • Strong attention to detail, communication, and organizational skills.
    • Ability to manage nervous or distressed patients with empathy and patience.
    • Ability to work in a high-pressure environment and as part of a team.
    • Excellent telephone etiquette, customer service, and interpersonal skills.
    • Administrative skills, confidentiality, business numeracy, and adherence to dress code.

Compensation:
Salary is commensurate with qualifications and experience.
