Job Summary:
Unitrans is seeking to hire an Administration Officer II on a Fixed Term Contract. The successful candidate will perform a limited range of administrative and clerical tasks to support functional groups. Under general supervision, they will be responsible for arranging and compiling data, performing standard computations, processing documents, and maintaining accurate records. This position requires someone who is organized, detail-oriented, and able to manage multiple tasks efficiently.
Minimum Requirements:
- Education: Grade 12 / Matric / NQF level 4, Advanced Certificate / NQF level 5
- Experience: Up to 3 years of experience in a similar administrative role
- Skills:
- Proficient in data capturing and maintaining records
- Good customer relations and communication skills
- Ability to handle routine clerical tasks (e.g., copying, faxing, filing)
- Competent in managing schedules and records
Duties and Responsibilities:
Processing and Managing PODs (Proof of Delivery):
- Ensure that PODs are processed daily, trip numbers are correct, and all documents are accounted for
- Upload PODs onto the electronic system while keeping copies and proof of records
- Liaise with clients regarding completed PODs, ensuring accurate recording and documentation
- Maintain filing of PODs in number sequence, updating records regularly
Administrative Support:
- Handle data capturing, copying, faxing, and filing of documents in a timely manner
- Assist in minute-taking during meetings and ensure files are updated and maintained
- Ensure that trip sheets are signed daily and properly filed
- Compile daily work hours and provide weekly input for wage processing
- Monitor and manage staff leave records
Customer Relations:
- Maintain good customer relations by providing support to staff and clients in daily interactions
- Assist staff with queries related to wages, leaves, and other administrative issues

The Administration Officer will be expected to handle various clerical and administrative tasks in a fast-paced environment. They must have a strong attention to detail and be comfortable working under general supervision while performing routine duties.
