Job Description:

We are looking for a highly organized and proactive Administrative Assistant to support the Facilities, Fleet, and Logistics team. The role is essential in ensuring smooth warehouse operations and effective fleet management processes. The ideal candidate should possess strong administrative skills, the ability to multitask, and keen attention to detail.


Key Responsibilities:

Administrative Support:

  • Calendar Management: Coordinate travel arrangements and manage schedules.
  • Document Preparation: Draft, edit, and format correspondence, memos, reports, presentations, and other documents accurately.
  • Data Management: Maintain organized electronic and physical filing systems for easy retrieval of documents.
  • Communication: Serve as the primary contact for internal and external stakeholders, handling inquiries and requests.

Communication and Coordination:

  • Stakeholder Liaison: Facilitate communication between departments, ensuring smooth coordination of warehouse and fleet activities.
  • Meeting Coordination: Plan and arrange logistics for meetings, including room bookings, catering, and tech setup.
  • Information Dissemination: Ensure timely and clear distribution of information and updates to relevant parties.

Documentation and Reporting:

  • Report Generation: Assist in preparing operational reports, performance metrics, and budget tracking summaries using MS Excel.
  • Record Keeping: Maintain inventory records, fleet maintenance logs, and track operational expenditures.
  • Presentation Preparation: Compile data and prepare visually appealing presentations for management.

Project Assistance:

  • Project Support: Provide administrative support for special projects led by the National Facilities and Fleet Managers, including timeline management and resource coordination.
  • Progress Monitoring: Track project progress, identify potential challenges, and assist in problem-solving to ensure successful project outcomes.

Operational Support:

  • Ad Hoc Tasks: Undertake additional tasks and responsibilities as assigned by the National Warehouse and Fleet Manager, demonstrating flexibility and initiative.

Requirements:

  • Education: BCom Degree required.
  • Experience: Minimum of 2 years of administrative experience, preferably in operations or a similar field.
