Purpose of the Job
The role involves performing all general administrative functions within the department, ensuring smooth and efficient operations by managing documentation, communication, and administrative processes.

Key Responsibilities

  • Ensure Standard Operating Procedures (SOPs) are understood, trained on, and consistently maintained to ensure accurate execution of tasks.
  • Utilize various systems within the business for daily operations.
  • Perform all administrative tasks required by the operation, including checking invoice statuses, filing documents, and generating operational documentation.
  • Communicate specific operational requirements to relevant warehouse staff and escalate customer queries to management when necessary.
  • Maintain daily, weekly, and monthly reports as needed for operational purposes.
  • Order stationery and assist with data capturing as needed.
  • Handle wage-related administration efficiently.

Quality, Health, and Safety and KPIs

  • Ensure that Key Performance Indicators (KPIs) are understood, measured, managed, and reported on monthly.
  • Ensure Non-Conformance Reports (NCRs), Non-Conformance Processes (NCPs), and Improvement Opportunities (IOs) are raised daily and closed within the required lead times.
  • Maintain standards of Health and Safety in compliance with the Occupational Health and Safety Act and conduct all necessary monthly checks.
  • Maintain daily housekeeping standards and assist with operational functions when required.

Minimum Requirements

  • Grade 12 (Matric).
  • Computer literacy is essential.

Skills Required

  • Strong administrative and communication skills.
  • Knowledge and understanding of administrative procedures within the operation.
  • Familiarity with all Standard Operating Procedures related to the role.
  • Understanding of Value policies and Health and Safety procedures.
  • Knowledge of ISO 9001 procedures.
