Job Description:

This role will involve working closely with various internal and external stakeholders, allowing the candidate to develop strong relationships and learn about the operational aspects of stock management in the automotive industry.
Main Purpose of the Job:
The primary objective of this role is to ensure the timely and accurate processing of vehicle stock transactions, aligned with the dealership's predefined work objectives. The intern will gain practical experience in stock control operations, including maintaining stock accuracy, ensuring compliance with internal processes, and providing support to other departments involved in the sales and supply chain functions.
This role is critical in supporting the dealership’s daily operations, as proper stock management directly impacts the sales, availability of vehicles, and customer satisfaction. The intern will have an opportunity to develop problem-solving skills by addressing stock discrepancies, supporting the dealership in handling vehicle stock issues, and ensuring that all records are properly updated and stored.
Specific Role Responsibilities:
- Processing vehicle stock transactions accurately and within the set timeframes, ensuring that all data is inputted into the system correctly.
- Assisting with stock control functions, including receiving vehicles into stock, updating records, and tracking vehicle movements between locations or customers.
- Ensuring that all stock-related documentation, such as delivery notes and invoices, is filed and maintained in line with company policies.
- Identifying any discrepancies in stock records and assisting in resolving issues related to stock shortages or excesses.
- Preparing stock reports and supporting the team in making informed decisions on vehicle availability, sales planning, and inventory management.
- Coordinating with the sales team, suppliers, and trade representatives to ensure smooth and accurate stock movements.
- Assisting in audits of physical stock and maintaining records to ensure compliance with internal audit standards and governance protocols.
- Assisting with the reconciliation of vehicle inventory records, ensuring that all transactions are properly accounted for and any discrepancies are promptly addressed.
Relationships and Personal Activities:
- Directly responsible to: Accountant and Dealer Principal. The intern will work closely with these individuals to ensure the successful execution of stock control tasks and the accurate reporting of vehicle transactions.
- Interactions with: Internal and external customers, Sales Managers, Dealer Principal, all staff members, suppliers, trade representatives, and agents. The intern will develop strong working relationships with all stakeholders to facilitate effective communication and ensure smooth stock management processes.
Qualifications and Experience:
- A minimum of 1-2 years of experience in a stock control role, preferably within the motor industry. This experience should include familiarity with managing vehicle inventories and handling stock-related documentation.
- Knowledge of stock-keeping systems, with preference given to candidates who have experience using Autoline systems or similar software platforms.
- Previous exposure to supply chain management principles and practices within the automotive sector will be advantageous.
Skills and Personal Attributes:
- Advanced Excel skills: The candidate should be proficient in using Microsoft Excel for data analysis, reporting, and managing stock records.
- Good written and verbal communication skills: Clear communication with team members, managers, and customers is essential for ensuring accurate stock management and resolving any issues that may arise.
- Attention to detail: The ability to focus on the finer details is critical in this role, as accurate stock records and timely processing of transactions are key to the dealership's success.
- People management skills: Although this is an internship, strong interpersonal skills are required to interact effectively with colleagues, suppliers, and customers.
