Job Description:
A prominent law firm is seeking a highly motivated and professional Receptionist / Administration Assistant to join their team in Westcliff, Johannesburg. As the first point of contact for clients and visitors, you will be responsible for creating a welcoming environment, managing client interactions, and providing exceptional customer service. You will also assist attorneys and directors with various administrative tasks.
This is a permanent, full-time role that requires a positive attitude, excellent communication skills, and strong organizational abilities.
Key Responsibilities:
- Front Office Management: Be the face of the firm, greeting visitors and managing incoming calls with professionalism.
- Customer Service: Provide excellent service by handling client inquiries and taking accurate messages.
- Administrative Support: Assist attorneys with daily tasks, including diary management, scheduling meetings, and managing documents.
- Director Support: Handle tasks such as booking flights, accommodation, events, car licenses, and visa appointments.
- Filing: Organize and maintain both on-site and off-site filing systems.
- Task Management: Work on multiple tasks, prioritize effectively, and ensure instructions are followed.
Requirements:
- Presentable appearance, representing the image of the firm.
- Enthusiastic and eager to learn.
- Strong command of English (both written and verbal communication).
- Excellent telephone manners and ability to take clear, accurate messages.
- Proficient in Microsoft Word and Excel.
- Strong organizational and filing skills.
- Intelligent, resourceful, and self-motivated.
- Pleasant personality and willingness to take instructions from multiple attorneys.
