Job Overview:

Old Mutual seeks a talented individual to manage front-line reception, switchboard operations, and administrative tasks, with junior PA responsibilities. The position is accountable for delivering quality service through personal efforts and collaboration within a dynamic team environment.


Key Responsibilities:

1. Front Face Reception/PA:

  • Handle incoming calls, route them to the correct locations, and place outgoing calls as requested.
  • Log international calls and maintain switchboard data, generating relevant reports.
  • Take and accurately relay telephonic messages and assist with basic queries.

2. Administration:

  • Manage travel bookings for flights, hotels, accommodations, cars, and shuttles.
  • Order stationery and kitchen supplies as needed.
  • Maintain administrative processes and produce monthly statistical reports.
  • Log and update records accurately and ensure data integrity.

3. Team Assistance:

  • Assist team members with tasks such as catering, room setup, and other logistical support.
  • Manage access control, including access tokens/cards and alarm codes for colleagues.

4. Health & Safety:

  • Act as the team leader for all First Aiders and Emergency Wardens.
  • Investigate health and safety issues and review the effectiveness of safety measures.
  • Ensure ongoing training for incident reporting and monitor team compliance.

5. Personal Effectiveness:

  • Take accountability for service delivery through personal efforts.
  • Broaden individual skills to make enhanced contributions to the team.
  • Collaborate effectively with others to achieve personal and team results.
  • Uphold and live by the company’s values.

Qualifications, Skills, and Experience:

  • Education:

    • Matric certificate and a tertiary qualification in administration.
  • Experience:

    • At least 3 years of experience in front-line reception and administration.
  • Skills:

    • Excellent switchboard and telephone etiquette.
    • Strong command of English and Afrikaans.
    • Client-centric approach and service excellence.
    • Strong administrative abilities and time management skills.
    • Ability to handle stressful situations in a vibrant, dynamic team environment.
