Job Purpose:
Motus Ford Diep River is seeking a dedicated Parts Administrator to manage administrative tasks related to parts purchases, sales, credits, and orders. Reporting to the Parts Manager, the Parts Administrator is expected to deliver efficient service, ensure high levels of accuracy, and provide excellent customer support, in alignment with the dealership’s commitment to quality.
Key Responsibilities:
The Parts Administrator will be responsible for the following duties:
Customer Service and Communication:
- Promptly respond to customer inquiries in a professional manner, ensuring an excellent client experience.
- Maintain open and clear communication with customers, sales personnel, and internal teams regarding parts-related information.
Order Management and Stock Control:
- Process daily orders and ensure accurate entry into the system.
- Perform stock ordering based on daily requirements, including verifying DMS orders with the Parts Manager.
- Address negative stock discrepancies and update DMS reports as directed.
- Handle stock adjustments and entries during stock takes as needed.
Invoice and Documentation Processing:
- File and maintain records of invoices, purchase orders, and credit notes, ensuring accurate documentation and easy retrieval.
- Follow up on outstanding credits, reconciliations, and discrepancies in creditor accounts for payments.
Cash Handling and Account Reconciliation:
- Manage cash and COD (Cash on Delivery) sales, preparing deposits and updating cash accounts.
- Ensure secure handling of all cash received and prompt resolution of any cash-related issues.
Administrative and Support Tasks:
- Participate in meetings, training sessions, and stock takes as required.
- Perform housekeeping tasks to maintain a clean, organized workspace.
- Undertake any other tasks requested by the Parts Manager.
Qualifications and Experience:
- Education: Matric Certificate (Grade 12) is required.
- Experience:
- Minimum of 2-3 years in the automotive or motor industry, preferably with parts experience.
- Familiarity with the Automate system is advantageous.
- Technical Knowledge: Basic understanding of automotive parts relevant to OEMs or similar brands.
- Computer Skills: Proficiency in general office software.
