About the Job:

The CSIR is seeking a Receptionist for its Facilities Management and Security Services (FM & SS) Portfolio. The role involves projecting a professional image, welcoming visitors, and handling general inquiries. It may also include some administrative duties to support business operations.


Key Responsibilities:

Reception Services:

  • Welcome, register, and direct visitors to their destinations.
  • Receive incoming mail, parcels, and documents, and notify recipients.
  • Provide front desk services to internal and external clients, ensuring efficient access for suppliers.
  • Maintain security by following procedures and controlling access (monitoring logbooks and checking visitor cards).
  • Report any security breaches as a precautionary measure.
  • Maintain general housekeeping in the reception foyer.
  • Update the information stand with current publications for effective communication.
  • Update personnel contact details and telephone lists for quick access.

Customer Services:

  • Understand CSIR's business to provide respectful and professional service to customers.
  • Build and maintain good relationships with clients to understand their requests.
  • Attend to customer requests promptly to enhance CSIR's positive image.

Support Services:

  • Assist with basic administration tasks such as scheduling meetings, taking minutes, and managing documents.
  • Help with procurement processes, journal recoveries, and reporting as needed.
  • Control office consumables for effective stock management.
  • Manage keys for units, ensuring safekeeping and registration.
  • Provide backup service in registry and assist with binding reports.
  • Offer additional support as required by the Site Support Manager (SSM) to maintain service levels.

Qualifications, Skills, and Experience:

  • Education: Grade 12 certificate.
  • Experience: Minimum of two years in a receptionist role or a business support environment.
  • Skills:
    • Strong customer/client focus.
    • Proficient in computer skills.
    • Excellent telephone etiquette.
    • Good interpersonal and communication skills.

This position is ideal for candidates with a strong customer service orientation and administrative capabilities, looking to contribute to the effective operations of the CSIR.
