Job Description
The Administrative Clerk will be responsible for verifying, scanning, indexing, and processing documents to ensure accurate record-keeping and workflow efficiency.
Key Responsibilities
- Verify that policy numbers on application forms match the workflow.
- Ensure that all required documents are present, correct, and indexed properly.
- Check that documents are complete and clear before processing.
- Read and interpret documents to determine the nature of the enquiry.
- Receive, sort, and prepare mail and faxes for scanning.
- Investigate and resolve document indexing issues.
- Meet daily, weekly, and monthly targets set by Team Leaders.
- Scan documents according to policy numbers, ensuring clarity and readability.
- Update client details such as addresses, contact information, and preferred language.
- Capture and verify banking details for Loans, Withdrawals, Surrenders, and Cancellations.
- Maintain and order stationery for the department.
- Communicate outstanding document requirements with clients or branches.
- Report system errors to Team Leaders or Department Heads.
- File scanned documents and ensure proper record-keeping.
Minimum Requirements
- Grade 12 (Matric).
- 1 year of administrative experience.
- Fluent in English and Afrikaans (read, write, and speak).
- Computer literate (Microsoft Word & Excel).
- Knowledge of long-term insurance is recommended.
- Experience in a client service environment is an advantage.
- Strong time management, discipline, and adherence to quality standards.
