Key Functions and Responsibilities

1. Daily Operational Execution

  • Non-Stock Items:

    • Verify that a valid Purchase Order (PO) exists for deliveries.
    • Check the delivery note for item correctness, quantity, and visual quality.
    • Return items without a valid PO to the vendor using a goods returned advice.
    • Ensure supplier delivery notes are signed, retained, and submitted appropriately.
  • Services:

    • Ensure service invoices and job cards (if applicable) are signed by the relevant user or cost center owner.
    • Submit signed documents to Operational Procurement for receipting.
    • Create a service entry sheet on the ERP system.
  • Finished Product for Resale:

    • Receipt items based on approved documentation within 24 hours.
    • Pay attention to batch numbers as per SHEQ approval.

2. ERP System Processing

  • Capture goods receipts against POs in the ERP system.
  • Include delivery note numbers and batch details in the system.
  • File delivery documents and ensure accurate record-keeping.

3. Teamwork and Self-Management

  • Take ownership of tasks, prioritize effectively, and maintain productivity.
  • Meet deadlines and communicate any potential risks or issues proactively.
  • Collaborate with team members to achieve targets and resolve queries within 48 hours.

4. Key Performance Indicators (KPIs)

  • Adhere to receipting policies and procedures.
  • Ensure accuracy in documentation and data entry.
  • Complete receipting within 24 hours of receiving approved documentation.
  • Expedite purchase orders and resolve finance queries within 48 hours.
  • Maintain no open purchase orders beyond the delivery date.

5. Ad Hoc Administrative Duties

  • Perform general administrative tasks.
  • Manage and issue 3G data cards for Group Services and Consumer Division employees.
  • Maintain a master list of allocated 3G cards and address internal customer queries.

Minimum Requirements

  • Education: Matric (Grade 12).
  • Experience: At least 1 year of experience in a Finance or similar environment (advantageous).
