Administrative Assistant (Document Services) X4

Company: Road Accident Fund (RAF)
Location: Menlo Park, Gauteng, South Africa
Employment Type: Fixed Term Contract

Salary: R244,732.00 per annum

Purpose of the Role

To provide efficient and effective document management services within the RAF.

Key Responsibilities

Mail Processing

  • Receive, register, and stamp incoming correspondence.
  • Sort and distribute incoming documents and faxes.
  • Prepare outgoing mail for posting and ensure correct pricing and franking.
  • Record details of registered mail and Docex Tracker mail.
  • Handle bulk mailing and ensure proper addressing.

Correspondence Management

  • Perform scanning and indexing of documents.
  • Validate mail and files before scanning.
  • Maintain and operate copying and binding machines.
  • Archive and retrieve documents as needed.
  • Process writs and summons, capturing details in registers.

Banking Indemnity Form (BIF) Processing

  • Capture and verify BIF information.
  • Ensure compliance with BIF rules and standard procedures.
  • Minimize fraud risk and ensure timely payments to claimants and suppliers.

Infrastructure & Equipment Maintenance

  • Report any mailroom-related equipment issues.
  • Maintain the franking machine, including technical servicing and money loading.
  • Retrieve documents from SharePoint/MOSS and highlight problem areas.

Minimum Requirements

Education

  • Matric (Grade 12) – NQF Level 4

Experience

  • At least one year of relevant experience in an administrative environment.
