Job Overview
The Road Accident Fund (RAF) seeks four Administrative Assistants to provide day-to-day administrative support in the Document Services division. The role requires strong organizational skills, document management expertise, and attention to detail to ensure compliance with internal policies and efficient office coordination.
Key Responsibilities
1. Compliance Administration
- Ensure adherence to internal policies and process standards.
- Stay updated on internal controls and business goals.
2. Office Coordination
- Follow up on outstanding matters.
- Handle requests and ensure timely responses.
- Maintain stationery availability.
- Verify and validate documents for accuracy.
- Keep registers and systems updated.
- Identify and report duplicate documents, requests, and queries.
- Allocate reference numbers and capture documents on different systems.
- Assign matters to team members.
- Draft and send correspondence to stakeholders.
3. Document & Records Management
- Administer records management in line with the RAF filing plan.
- Ensure proper storage and confidentiality of documents.
- Retrieve documents upon request.
- Acknowledge and record receipt of documents.
- Sort, prepare, and scan documents with accuracy.
- Apply metadata and classification for easy retrieval.
- Ensure compliance with data protection regulations.
- Utilize QR codes or barcoding for document tracking.
Required Qualifications & Experience
- Matric/Grade 12 Certificate (NCV4 in IT or National Archives Certification is an advantage).
- 1–2 years of experience in archival or information management.
