Job Purpose
To manage the back-office administrative functions of the legal department and provide operational and administrative support to legal advisors and the Legal Manager, ensuring they can effectively fulfill their duties.
Job Responsibilities
Administrative and Legal Support
- Ensure accurate issuing and remitting of invoices by verifying details, obtaining approval, and submitting them to accounts on time.
- Assist the legal team in meeting service level targets by handling administrative tasks efficiently.
- Maintain and update legal documents, registers, litigation schedules, and reports.
- Organize and maintain records, ensuring logical filing, accessibility, and electronic backup.
- Provide administrative support to legal advisors and the Legal Manager, including compiling meeting packs.
Client and Stakeholder Engagement
- Manage client expectations with professionalism, responsiveness, and friendliness.
- Develop and maintain strong relationships with stakeholders, attorneys, and colleagues through regular communication.
- Handle general legal inquiries and ensure timely responses.
Court Process Management
- Accept, record, and allocate legal documents such as summonses, notices of motion, subpoenas, and court orders.
- Ensure proper allocation of documents to the relevant legal advisor or department and confirm receipt.
- Maintain accurate monthly statistical reports of court documents received.
Intellectual Property and Compliance
- Have a thorough understanding of Intellectual Property Law and related administrative processes.
- Support trademark and IP administration tasks, such as data capturing and updating reports.
- Stay informed about High Court and Magistrate Court rules, legal documents, and court procedures.
Continuous Learning and Compliance
- Keep up with legislative and industry changes by reading relevant updates and attending sessions.
- Contribute to a knowledge-sharing culture within the team.
- Identify personal training opportunities and ensure completion of learning activities.
People Specification
Qualifications
- Essential: Matric / Grade 12 / National Senior Certificate
- Preferred: LLB or equivalent qualification
Experience
- 3 - 5 years of experience in the insurance sector or other relevant legal environments.
