Job Purpose

To administer, maintain, and support relevant business processes in line with the Group’s strategy. This role ensures that administrative functions are efficiently handled to meet departmental and business requirements.

Job Responsibilities

Administrative Support

  • Manage diaries and schedules.
  • Process reimbursements and invoices using the ARIBA system.
  • Arrange travel and accommodation, including managing guest/staff lists and dietary requirements.
  • Book meeting rooms and manage logistics.
  • Draft and update MANCO and DIVCO agendas, minutes, and matters arising.
  • Handle catering arrangements for meetings.
  • Book and coordinate parking for visitors.

Operational Efficiency

  • Meet service level agreements (SLA) by ensuring timely processing of tasks.
  • Minimize financial and reputational risks by ensuring accuracy in processing activities.
  • Reduce operational costs by avoiding unnecessary expenditures.
  • Respond to and resolve internal and external queries within agreed timelines.
  • Maintain relationships with stakeholders, including regulators, through effective communication.
  • Identify and report any process discrepancies or risks.

Compliance and Knowledge Management

  • Ensure adherence to policies and procedures to minimize risks.
  • Stay updated on industry regulations and internal policies.
  • Participate in knowledge-sharing and training sessions to enhance expertise.
  • Contribute to a team-oriented culture and support corporate social responsibility initiatives.
  • Identify opportunities for process improvements and support implementation efforts.

People Specification

Qualifications

  • Essential: Matric / Grade 12 / National Senior Certificate
  • Preferred: Banking diploma or equivalent qualification

Experience

  • 5 - 7 years of experience as an Office Administrator or Personal Assistant, preferably in the Financial Services or Insurance industry.
  • Experience supporting finance and actuarial teams is an advantage.
