The Receiving and Dispatch Clerk will oversee the accurate and efficient handling of incoming and outgoing goods, ensuring all processes align with company procedures and client requirements. This role is pivotal in maintaining the seamless operation of the cold storage facility and requires a high level of attention to detail, organizational skills, and teamwork.
Key Responsibilities
Receiving
- Verify incoming shipments against delivery documents and PO files.
- Inspect goods for quantity and condition upon arrival, reporting any discrepancies or damages.
- Ensure accurate documentation and recording of received goods in the system.
- Coordinate with Operations Manager and other operational staff to allocate storage locations for incoming goods.
- Manage and maintain an organized receiving area.
Dispatch
- Prepare and verify outgoing shipments, ensuring accuracy against client instructions and export documentation.
- Coordinate with the Planning Manager to schedule and prioritize dispatch activities.
- Ensure proper labelling, packing, and documentation of goods for transportation.
- Communicate with transporters and internal staff to confirm dispatch details and address any issues.
General Operations
- Maintain up-to-date records of all received and dispatched goods.
- Work closely with the Compliance Officer to ensure adherence to internal procedures and export regulations.
- Monitor stock movements and report discrepancies to the Operations Manager.
- Assist in inventory counts and audits as required.
- Ensure the workspace is clean, safe, and compliant with health and safety standards.
Key Competencies and Skills
- Strong attention to detail and accuracy in record-keeping.
- Good communication and interpersonal skills for coordination with team members and external stakeholders.
- Basic computer literacy for data entry and documentation.
- Ability to prioritise and manage multiple tasks under tight deadlines.
- Knowledge of inventory management principles and logistics processes.
- Physical ability to handle tasks in a cold storage environment, including standing for extended periods and lifting goods if required.
Qualifications and Experience
- Grade 12 diploma or equivalent.
- Previous experience in a receiving, dispatch, or logistics role (minimum 2 years preferred).
- Familiarity with cold storage operations in the fruit export industry.
- Knowledge of export documentation and procedures is an advantage but not mandatory.
- Basic knowledge of Warehouse Management Systems (WMS) is beneficial.
Working Conditions
- Work environment includes exposure to cold temperatures.
- Must be flexible to work shifts, weekends, or overtime as operationally required.
