Role Purpose

To provide a professional and friendly welcome to all visitors, both in person and telephonically, ensuring an excellent client experience.

Minimum Requirements

  • National Senior Certificate (Matric) (essential)
  • Office administration qualification (advantageous)
  • 2+ years of customer service or front desk experience (clinic experience is a plus)
  • Proficiency in MS Office / Office 365 (Outlook, Word, Excel)
  • Fluent in English and one other South African language

Key Responsibilities

  • Visitor Management: Welcome visitors, determine their purpose, and inform the relevant party.
  • Security Protocol: Capture visitor details, issue security tags when required.
  • Call Handling: Answer calls professionally, screen and route appropriately.
  • Invoicing & Payments: Raise proposals, invoices, and assist with collections.
  • Appointment Coordination: Schedule, follow up, and assist with queries.
  • File Management: Maintain organized and accessible records.
  • Document Processing: Compile and distribute documents within deadlines.
  • Facilities Management: Report faults and housekeeping issues.
  • Mail Handling: Collect, collate, and distribute mail.
  • Administrative Support: Data capturing, electronic filing, and other duties.
  • Stakeholder Relations: Build and maintain strong internal and external relationships.
