Key Responsibilities
- Greet customers warmly and assist with their queries.
- Open estimates and job cards for scheduled work.
- Send estimates to clients via email and secure approval via phone within 1 hour of booking or truck arrival.
- Consult with mechanics, foremen, or technical advisors to determine necessary repairs and cost-effective alternatives.
- Inform clients of available campaigns for their vehicles and upsell campaign hours where applicable.
- Verify if vehicles are under warranty, service plans, or maintenance plans, and confirm coverage or billing requirements.
- Liaise with the parts department to ensure timely availability of parts.
- Obtain order numbers and issue approvals to the Foreman and Technicians to commence work.
- Provide clients with 4-hourly updates on vehicle status and prepare/cost job cards for invoicing before release.
- Explain all completed work to clients prior to vehicle pickup, highlighting coverage and any additional repairs needed.
- Manage the daily workshop workflow sheet and distribute it by the end of each business day.
- Monitor the Workshop Efficiency report, comparing allocated hours to hours worked.
- Oversee the gate pass book and enforce company policies (e.g., no vehicle leaves without payment).
- Coordinate workflow and schedules between dealership departments.
- Contact customers regarding service updates or pickup times.
- Foster positive customer relationships to encourage repeat business.
- Adhere strictly to all company policies.
- Submit proof of payments to Accounts and manage debtor loading and removal.
Requirements
- Matric certificate (Grade 12).
- Relevant training or qualifications as a Service Advisor or in a similar role.
- Valid Code 8 driver’s license.
- Minimum 1-2 years of experience in a similar position.
Skills & Competencies
- Strong customer service and communication skills.
- Ability to multitask and manage time effectively in a busy environment.
- Detail-oriented with excellent organizational skills.
- Basic technical knowledge of automotive repairs and processes.
- Proficiency in coordinating between teams and departments.
- Confidence in upselling services and explaining technical details to clients.
