Mintek, a leader in Scientific, Research & Development, has an exciting opportunity for an Admin Officer. The successful candidate will handle administrative functions for the Executive and Board. Suitably qualified and experienced candidates are invited to apply.


Key Responsibilities

Administration

  • Assist in preparing board and committee meetings (scheduling, sending notices, preparing agendas).

  • Take minutes during meetings and ensure accurate records.

  • Distribute meeting materials and ensure board members have the required documents.

  • Process purchase, service requisitions, and follow up on orders.

  • Manage travel and accommodation bookings.

  • Coordinate with Finance for S&T allowances and advances.

  • Organise quotes and requisitions for consumables and assets.

  • Perform secretarial duties for Executives and Board.

  • Assist with drafting professional reports.

  • Organise board-related events and manage logistics.

  • Handle ad hoc tasks as needed.

Compliance

  • Manage sensitive and confidential information with discretion.

  • Coordinate Board Induction processes.

  • Maintain a filing system and record accurate minutes.

Asset Management

  • Keep records of asset changes, transfers, and scrapping.

  • Update asset register in Excel.

  • Physically verify assets at required intervals.

Collaboration

  • Build positive working relationships across teams.

  • Support the Board Secretariat in implementing corporate governance best practices.

  • Collaborate with cross-functional teams for accurate record-keeping and information flow between board and management.


Minimum Requirements

Qualifications

  • National Diploma in Public Administration, Office Management, or equivalent.

  • Ideal: B. Tech in Public Administration, Office Management, or equivalent.

Experience

  • 3-5 years of Administrative experience.

  • Computer literacy in Microsoft Office, IFS System, and minute-taking.
