Job Purpose
The Executive Assistant role is responsible for handling a wide range of administrative and executive support-related tasks. The incumbent is expected to work independently in anticipation of the executive’s role requirements to achieve the relevant objectives. The role serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO.
The Executive Assistant will contribute to the optimization of the executive’s office by recommending improvements in processes, procedures, and systems.
Principal Accountabilities
- Interface internally with departments and represent the CEO’s office in an effective and professional manner, including interacting with SAA executives, management, and Board members.
- Create strong networks throughout SAA to ensure the effective flow of information to and from the CEO’s office.
- Promote SAA’s brand through upholding a consistent high standard of professional communication with all stakeholders.
- Ensure smooth communication between the CEO's office and internal departments while maintaining credibility, trust, and support with senior management.
- Resolve inquiries/complaints efficiently within directed parameters, escalating where necessary.
- Manage the CEO’s diary effectively, ensuring integrity and professional conduct through communication.
- Communicate complex correspondence on behalf of the CEO to various stakeholders.
- Perform personal errands for the CEO as required.
- Screen calls to ensure non-essential calls are rerouted and take messages when necessary.
- Maintain an organized and up-to-date filing system and archive information as appropriate.
- Prepare high-quality strategic documentation (reports, letters, presentations, executive packs) with confidentiality.
- Reconcile project deliverables in relation to governance processes, financial implications, etc.
- Live and role model SAA values.
Qualifications & Experience
- Grade 12/Matric or equivalent at NQF level 4
- Secretarial or Business Management diploma at NQF level 6
- Relevant Bachelor’s degree is an advantage
- At least 5 years of previous experience in an executive assistant capacity
