Specsavers Groenkloof is looking for a friendly, professional, and customer-focused Frontliner to join their team!

As the first point of contact, you’ll create a welcoming atmosphere, manage appointments, handle inquiries, and assist with administrative tasks — all while ensuring a smooth, efficient patient experience.

Minimum Requirements

Education & Experience:

  • Matric (Grade 12) or equivalent
  • 3+ years experience in a frontline role (preferably in an optometry practice)

Skills & Competencies:

  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Proficiency in computer systems and appointment scheduling software
  • Customer-focused mindset with a professional and friendly demeanor
  • Ability to work efficiently in a fast-paced environment
  • Attention to detail in handling patient information

Additional Requirements:

  • Knowledge of optical products and medical aid procedures (advantageous)
  • Proactive attitude and willingness to learn

Working hours:

  • Monday to Friday: 08h00 - 17h00
  • Saturday: 08h00 - 13h00
  • Closed Sundays and Public Holidays

Duties and Responsibilities

Patient Reception & Customer Service:

  • Greet patients warmly and professionally
  • Assist with check-ins and ensure patients are comfortable
  • Handle inquiries and provide information on services and products

Appointment Scheduling & Management:

  • Schedule, confirm, and manage patient appointments
  • Coordinate rescheduling and handle cancellations

Administrative Support:

  • Maintain and update patient records accurately
  • Assist with insurance verification and processing claims
  • Handle general office tasks (filing, data entry, documentation)

Optical Product Assistance:

  • Assist patients with eyewear selection and product guidance
  • Ensure product displays are organized and tidy
  • Manage stock and maintain product presentation

Billing & Payments:

  • Process payments (cash, card, medical aid claims)
  • Handle billing inquiries and payment issues

Coordination & Communication:

  • Collaborate with optometrists and staff to ensure smooth operations
  • Communicate with patients about reminders, follow-ups, and special offers

General Practice Support:

  • Maintain a clean and organized front office
  • Ensure supplies are stocked and available
  • Assist with other tasks to support daily operations
