Minimum Requirements
Education & Experience:
- Matric (Grade 12) or equivalent
- 3+ years experience in a frontline role (preferably in an optometry practice)
Skills & Competencies:
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficiency in computer systems and appointment scheduling software
- Customer-focused mindset with a professional and friendly demeanor
- Ability to work efficiently in a fast-paced environment
- Attention to detail in handling patient information
Additional Requirements:
- Knowledge of optical products and medical aid procedures (advantageous)
- Proactive attitude and willingness to learn
Working hours:
- Monday to Friday: 08h00 - 17h00
- Saturday: 08h00 - 13h00
- Closed Sundays and Public Holidays
Duties and Responsibilities
Patient Reception & Customer Service:
- Greet patients warmly and professionally
- Assist with check-ins and ensure patients are comfortable
- Handle inquiries and provide information on services and products
Appointment Scheduling & Management:
- Schedule, confirm, and manage patient appointments
- Coordinate rescheduling and handle cancellations
Administrative Support:
- Maintain and update patient records accurately
- Assist with insurance verification and processing claims
- Handle general office tasks (filing, data entry, documentation)
Optical Product Assistance:
- Assist patients with eyewear selection and product guidance
- Ensure product displays are organized and tidy
- Manage stock and maintain product presentation
Billing & Payments:
- Process payments (cash, card, medical aid claims)
- Handle billing inquiries and payment issues
Coordination & Communication:
- Collaborate with optometrists and staff to ensure smooth operations
- Communicate with patients about reminders, follow-ups, and special offers
General Practice Support:
- Maintain a clean and organized front office
- Ensure supplies are stocked and available
- Assist with other tasks to support daily operations
