Minimum Requirements
Education & Experience:
- Matric (Grade 12) or equivalent
- Previous experience in customer service, reception, or admin
- (Advantageous) Experience in an optometry, medical, or retail environment
Skills & Competencies:
- Excellent communication and interpersonal skills
- Strong organization and multitasking abilities
- Proficient in computer systems and appointment scheduling software
- Customer-focused mindset with a professional and friendly approach
- Attention to detail and accuracy when handling patient info
- Ability to work efficiently under pressure
Additional Requirements:
- Availability to work flexible hours (including weekends if required)
- Knowledge of optical products and medical aid procedures (advantageous)
- Proactive attitude and willingness to learn
Duties and Responsibilities
Patient Reception & Customer Service:
- Greet patients warmly and professionally
- Assist with check-ins and ensure patients are comfortable
- Handle inquiries and provide information on services and products
Appointment Scheduling & Management:
- Schedule, confirm, and manage appointments
- Coordinate rescheduling and cancellations
Administrative Support:
- Maintain and update patient records accurately
- Assist with insurance verification and processing claims
- General office tasks (filing, data entry, organizing docs)
Optical Product Assistance:
- Help patients select eyewear and offer product guidance
- Ensure product displays are neat and organized
- Manage stock levels
Billing & Payments:
- Process payments (cash, card, medical aid claims)
- Assist patients with billing inquiries
Coordination & Communication:
- Collaborate with optometrists and staff for smooth operations
- Communicate appointment reminders, follow-ups, and special offers
General Practice Support:
- Keep the front office clean and organized
- Ensure supplies are stocked
- Assist with extra tasks to support the practice
