Specsavers Workshop is looking for a friendly, professional, and customer-focused Frontliner to join their team!

As the first point of contact, you’ll create a welcoming atmosphere, manage appointments, handle inquiries, and assist with admin tasks — ensuring a smooth and efficient patient experience.

Minimum Requirements

Education & Experience:

  • Matric (Grade 12) or equivalent
  • Previous experience in customer service, reception, or admin
  • (Advantageous) Experience in an optometry, medical, or retail environment

Skills & Competencies:

  • Excellent communication and interpersonal skills
  • Strong organization and multitasking abilities
  • Proficient in computer systems and appointment scheduling software
  • Customer-focused mindset with a professional and friendly approach
  • Attention to detail and accuracy when handling patient info
  • Ability to work efficiently under pressure

Additional Requirements:

  • Availability to work flexible hours (including weekends if required)
  • Knowledge of optical products and medical aid procedures (advantageous)
  • Proactive attitude and willingness to learn

Duties and Responsibilities

Patient Reception & Customer Service:

  • Greet patients warmly and professionally
  • Assist with check-ins and ensure patients are comfortable
  • Handle inquiries and provide information on services and products

Appointment Scheduling & Management:

  • Schedule, confirm, and manage appointments
  • Coordinate rescheduling and cancellations

Administrative Support:

  • Maintain and update patient records accurately
  • Assist with insurance verification and processing claims
  • General office tasks (filing, data entry, organizing docs)

Optical Product Assistance:

  • Help patients select eyewear and offer product guidance
  • Ensure product displays are neat and organized
  • Manage stock levels

Billing & Payments:

  • Process payments (cash, card, medical aid claims)
  • Assist patients with billing inquiries

Coordination & Communication:

  • Collaborate with optometrists and staff for smooth operations
  • Communicate appointment reminders, follow-ups, and special offers

General Practice Support:

  • Keep the front office clean and organized
  • Ensure supplies are stocked
  • Assist with extra tasks to support the practice
