Purpose of the Job
The Officer: Acquisition Management (Quotation) will support business units by managing the procurement of goods, services, and works. The role ensures SCM (Supply Chain Management) processes run smoothly and comply with legislative requirements.
Key Responsibilities
1. Acquisition Management
- Verify the validity of application requests.
- Compile and issue RFQ (Request for Quotation) documents to suppliers.
- Manage supplier responses and evaluate received RFQs.
- Maintain purchase requisitions (PR) in the system and issue purchase orders (PO).
- Follow up on deliveries and manage deviations through Bid Adjudication Committee (BAC) submissions.
- Conduct market research and support price negotiations with suppliers.
- Ensure bids meet specifications and manage Bid Evaluation Committee (BEC) meetings for complex bids.
2. Reporting
- Assist in preparing and submitting regulatory reports.
- Contribute to performance and project reporting systems.
3. Stakeholder Management
- Handle internal and external inquiries promptly.
- Provide alternative solutions to business units where necessary.
- Maintain supplier relationships to ensure accurate orders, invoicing, and on-time payments.
4. Records Management
- Ensure all procurement documents are properly archived.
Qualifications & Experience
- Education: Bachelor’s Degree/Advanced Diploma in Supply Chain Management, Finance, or related fields.
- Experience: 3 years of experience in Acquisition Management, specifically handling quotations.
- Advantage: Procurement experience within State-Owned Entities (SoEs).
