Minimum Requirements

Grade 12 (Matric)

Secretarial Diploma

5 years’ experience in a similar environment

Strong communication skills

Ability to assess situations and respond appropriately
Core Responsibilities
-
Facilitate and coordinate activities between Council offices, Departments, and Structures related to service delivery.

Ensure all administrative tasks meet high-quality standards as agreed with management.

Identify and resolve queries promptly, apply discretion within guidelines, and escalate unresolved issues.

Plan and organize routine tasks and work schedules.
-
Manage enquiries and complaints for the Head of Department, gather information, and provide feedback.

Arrange and coordinate meetings, workshops, catering, venue setup, audio-visual aids, and documentation.

Oversee the smooth running of the Head of Department’s office.

Handle incoming and outgoing correspondence according to approved file plans and registry procedures.

Draft documents using word processing, spreadsheets, email, and other PC office applications.

Adhere to policies, standards, and Standard Operating Procedures (SOPs).
-
Assess own performance and seek feedback on outputs.

Perform additional secretarial, administrative, or clerical duties as requested by management.
