Job Description

We are looking for a dynamic and vibrant Receptionist to join our team and serve as the first point of contact for our guests and clients. The role includes greeting visitors, managing incoming calls, coordinating meetings, and maintaining a professional image. Excellent organizational skills, a friendly attitude, and strong communication abilities are essential for this position.

Responsibilities

Switchboard:

  • Answer all incoming calls and handle inquiries when possible.
  • Use the correct greeting for calls.
  • Check availability on "vision" and redirect calls to the appropriate department.
  • Take messages when staff are unavailable.

Guest Liaison:

  • Provide a warm and professional welcome to all visitors.
  • Manage guest parking and meeting room bookings.
  • Greet, assist, and direct clients and visitors.
  • Arrange refreshments for guests (coffee, water, etc.).
  • Provide Wi-Fi access to visitors and clients.
  • Assist with presentation equipment in the boardrooms.
  • Ensure boardrooms are presentable after meetings.

Facilities Management:

  • Liaise with building management and security for maintenance and emergencies.
  • Oversee contractors for office maintenance.
  • Facilitate parking for staff and guests.
  • Arrange access tags for staff and visitors.

Occupational Health and Safety:

  • Assist as a Health and Safety representative.
  • Help with fire drills and emergencies.
  • Conduct monthly health and safety checks.
  • E-file and update health and safety-related documents.

Business Continuity Management (BCM):

  • Assist with administration for business continuity planning (BCP).
  • Update BCP information weekly.

Internal Company Events:

  • Distribute social treats for staff activities.
  • Assist in organizing internal events (catering, venue setup).

General Reception Duties:

  • Maintain a tidy and presentable reception area and meeting rooms.
  • Organize and maintain a filing system for reception.
  • Manage mail, deliveries, and couriers.
  • Provide ad-hoc support to teams across the business.
  • Keep printing areas neat and well-stocked.
  • Assist with staff travel arrangements and approvals.
  • Order stationery and manage stock levels.
  • Assist with office consumables stock control.
  • Obtain vendor quotes and manage office-related administration.

Qualifications:

  • Grade 12
  • Certificate in office administration or similar
  • 2-3 years of experience as a receptionist or in a similar role
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with the ability to multitask and prioritize
