Purpose of the Job:

The Receptionist will maintain a world-class standard for both hard and soft services and manage the facilities to meet the needs of clients and staff. The role involves day-to-day supervision of the reception area, ensuring that all functions are carried out professionally, efficiently, and in accordance with agreed procedures and protocols.


Key Performance Areas

  1. Customer Service

    • Deliver exceptional service to clients and visitors, ensuring a welcoming environment.
    • Greet all clients with a smile, maintain a positive attitude, and treat each client as a valued guest.
    • Engage clients using professional language and communication.
    • Manage incoming telephone calls, directing them to the appropriate department or staff member.
    • Address customer complaints and concerns, providing timely resolutions.
    • Maintain a professional and courteous demeanor, always adhering to business language and tone.
  2. Data Management & Integrity

    • Accurately record client visits on the visitor management system or in-house forms.
  3. Adherence to Policies & Procedures

    • Strictly follow all divisional policies, procedures, and service level agreements (SLAs).
    • Comply with confidentiality protocols under the POPIA Act.
    • Ensure adherence to schedules and operational protocols.
  4. Teamwork

    • Contribute positively to team performance and work collaboratively with business support staff.
    • Demonstrate respect, empathy, and integrity when interacting with colleagues.
    • Share knowledge and assist other team members to ensure smooth operations.
  5. Customer Fairness

    • Build and maintain strong client relationships in alignment with Treating Customers Fairly (TCF) principles.
    • Act as a brand ambassador for Alexander Forbes by embodying the company’s values in all interactions.
  6. Personal Development

    • Actively participate in professional development, training, and coaching sessions.
    • Respond positively to feedback and apply learnings to improve business objectives.

Qualifications

  • Matric (Essential)
  • Relevant qualification (Advantageous)

Experience

  • Minimum 2 years proven work experience as a corporate receptionist, preferably within the financial services industry.
  • Knowledge of customer service practices and principles.
  • Ability to speak more than 2 languages is highly advantageous.
