Position Objective:
To act as the first point of contact, providing friendly, welcoming, and efficient service to SANRAL visitors and callers. This role involves managing and coordinating front desk activities, operating the switchboard, and providing administrative support.
Minimum Requirements:
- National Senior Certificate (Grade 12). A post-matric qualification will be an advantage.
- Three years reception and switchboard experience.
- Must be computer literate and proficient in Microsoft Office.
Technical Competencies:
- Familiarity with phone systems and switchboard operation.
- Knowledge of general office machines (e.g., copiers, printers).
- Strong interpersonal and communication skills.
- Proficiency in MS Word, Excel, and Outlook.
- Excellent verbal communication skills over the phone.
- Strong time management and organizational skills.
Key Responsibilities:
Receive and Welcome Visitors:
- Greet and welcome visitors, determine the nature of their business, and direct them to the correct location.
- Inform SANRAL personnel of visitor arrival.
- Liaise with security to follow procedures, ensure visitors’ logbook completion, and issue visitor badges.
- Maintain a tidy and presentable reception area.
- Escort guests to meeting rooms.
Switchboard Management:
- Professionally answer incoming calls and respond to queries.
- Transfer calls and take messages when required.
- Maintain and update the telephone list for Head Office.
- Assist with boardroom bookings for meetings.
General Administrative Support:
- Maintain records of incoming and outgoing mail and goods.
- Assist with travel arrangements and general administrative duties.
- Responsible for stock-taking and stationery distribution.
- Take minutes for Head Office staff meetings.
