Job Purpose

To ensure the effective maintenance and accuracy of the administrative functions within the branch.


Minimum Requirements

Education & Training

  • Grade 12 (Matric)

Work Experience

  • Minimum of 2 years' administration experience


Key Performance Areas

  • Match received stock with delivery notes.

  • File and manage delivery notes; assist with general receiving duties.

  • Ensure accurate processing of documents and number sequencing in the system.

  • Retrieve electronic invoices and match them with delivery notes and orders.

  • Process claims for warranties, damages, shortages, surplus, and expired stock.

  • Build and maintain positive relationships with internal and external clients; resolve queries.

  • Generate system reports (daily, weekly, monthly), such as:

    • Outstanding claims

    • Negative stock reports

    • Outstanding purchase orders

  • Assist with quarterly stock-taking; capture stock counts and generate variance reports.

  • Communicate with suppliers on outstanding invoices and discrepancies.

  • Ensure correct coding, pricing, and quantities of stock.

  • Handle daily cash-ups and report discrepancies.

  • Liaise with the Regional Banking Clerk on daily balances and shortages.
